The Blackheath Cator Estate Residents Ltd Privacy Statement

This Statement (September 2018) explains how we collect, store, and use personal information from residents, shareholders, property and vehicle owners. It also sets out the legal basis on which we do this.

We will only use your personal information when the law allows us to. We collect and use your information where it is necessary to pursue our legitimate interests.

It is important that you read our Privacy Statement so that you are aware of how and why we are using your information.

 

The kind of information we hold about you, how we collect and use it and our legal basis for doing so

Your personal data is any information about you from which you can be identified. Blackheath Cator Estate Residents (BCER) collects information at the time of purchasing or renting property, vehicle permits and gate passes in order to maintain a register of residents, shareholders, vehicle and property owners.

We may collect personal information such as:

  • Name
  • Address
  • Email address
  • Telephone Number
  • Payments received connection with BCER regulations and agreements
  • Vehicle Registration numbers

In addition, we may collect correspondence we have received from residents, shareholders, vehicle and property owners.

We do not hold details of residents’ bank accounts.

We use your information for:

  • keeping residents informed of BCER activities
  • sending you the Estate Newsletter
  • issuing notices in accordance with BCER rules, regulations and agreements
  • tracking and reconciling payments to ensure accurate financial books and records
  • Issuing vehicle permits and gate passes
  • responding to queries and complaints

We do this on the legal basis for holding and processing your personnel records relating to your ownership of property (and your interests as a property owner, shareholder and resident) to administer and manage the estate in accordance with BCER Ltd. Rules and Regulations.

How we look after your information

BCER, as the controller and processor of personal information, is committed to safeguarding your personal data and your privacy. We have put in place appropriate security measures to prevent your personal data accidentally being lost, used or accessed in an unauthorised way, altered or disclosed. We limit access to your personal data to elected BCER Board members and personnel employed by BCER, unless required for specific BCER business (e.g. sharing information for lawful authorised purposes).

How long we keep and use your information

We will only retain your personal information for as long as necessary to fulfil the purposes for which we collected it. We will securely erase your contact data within 12 months of the sale or transfer of your property.

Your rights over your information

Under data protection law, you have certain rights over your information, such as Subject Access Requests, Request to Erasure or Request to Correction. You can exercise any of these rights free of charge.

Your duty to inform us of changes

It is important that the personal data we hold about you is accurate and current. Please contact the company if your personal data changes during your relationship with us.
